Executive Assistant

International Private Wealth Advisory / Private Equity Firm  


A client we know very well in London, New York and Europe is looking for an Executive Assistant to support their small team of Wealth Managers in Zurich.  This is a permanent role, you must have worked for an international, fast paced investment / financial services or professional services firm before, be happy to work in a smaller but growing office, within a global corporate firm, and it is imperative you are fluent in German & English – French would be an asset!

My client is an international alternative investment firm that is incredibly successful in all aspects of their investment activity.  They promote career progression, hire the best people for their people-focused culture, really care about doing a brilliant job, and have further plans to expand in 2022 and beyond.  You will be part of a global EA team but you will be alone as sole support in the Zurich office, so you must be happy to work in both capacities, supporting from MD to Associate level – a team of 4 in total - and be responsible for ensuring the office running smoothly.

You would be joining an exceptional team of global Executive Assistants so you will have a supportive network for all EA and office management matters, but you will be expected to manage this role in a sole capacity on a day to day basis in Zurich. 

Your responsibilities will include, but are not limited to:

  • Supporting a team of private wealth managers (all levels of Directors) with extensive diary and schedule management
  • Arranging international travel planning and track for tax purposes  
  • Gatekeeping and handling all incoming telephone calls & emails in a responsive, proactive and timely manner
  • Full secretarial duties, including preparation of business correspondence, project documents and presentations, and using a variety of software packages including Microsoft Outlook, Word & PowerPoint
  • Regular liaison and interaction with various other offices globally
  • Manage personal and professional administration of a highly confidential and sensitive nature
  • Managing the office, ensuring it is fully functional and stocked at all times
  • Tracking investor communication and updating contacts on CRM system (Salesforce)
  • Liaising with global HR & Operations departments



An ideal candidate for this Executive Assistant role will be able to work in a proactive manner, making decisions on behalf of the team with scheduling matters and value discretion and trust.  This is a fast-paced environment and being able to work under time pressure in a calm and unflappable way is imperative. You must value your role as an EA and really be accountable for performing this vital role to the best of your ability. 

You must possess:

  • English and German language skills to a fluent level, French would be a plus
  • Excellent secretarial, organisational and problem-solving skills
  • Experience working for an international investment firm is advantageous, but at least an international professional services firm is a must
  • A professional, committed attitude and approach
  • The ability to work to deadlines
  • The ability to work well alone as well as using your network of supportive colleagues when needed
  • Strong knowledge of MS Office Suite
  • Experience using a CRM system & Concur for expenses would be advantageous
